Invite Members to Workspaces and Projects

Depending on your role, you can invite users to a workspace or a project and assign workspace or project roles. For more information on roles and permissions in Sphere XG, see chapter Roles and Permissions in Sphere XG.

Invite Users to a Workspace

There are two ways to invite users (members) to a workspace.

Via task panel entry Members

Only Workspace Admins can invite users to the workspace via task panel entry Members.

  1. In the task panel of the Sphere XG Dashboard, select menu entry Members.

  1. Click the Invite members button in the top right corner.
    The Invite members to workspace form is displayed.

Fields with asterisks in the forms described below are mandatory.

  1. Select a workspace role for the new member(s) of the workspace.

If you assign the workspace roles Group Manager or Project Manager, you must also assign a group to the new member of the workspace. In addition, if you assign the Group Manager role, you can enable the new member to create new groups, see figure above.

  1. Enter the email addresses you want.
    If you enter more than one address, separate them by commas or semicolons, or press the space bar or enter key after each entry.

  2. Click the Send Invite button to send an email invitation.

The invited users must create a Sphere XG account to join the workspace.

While creating a new group

Only Workspace Admins and Group Managers (if enabled) can create new groups within a workspace.

When you create a new group, you must assign a Group Manager to this group. If you invite users as Group Managers who are not yet members of the workspace via email invitation, they will be invited to the group and to the workspace at the same time. Invite Users to a Project

For more information about the required permissions for inviting users to projects, see the overview table in Permissions of all Roles on the Project Level.

There are two ways to invite users (members) to a project:

While creating a new project

When you create a new project, you select a group to which the project belongs. For more information on creating projects, see Create a New Project.

Via task panel entry Projects

  1. In the task panel of the Sphere XG Dashboard, select menu entry Projects.

  2. Click the project to which you want to invite users.
    The Projects page is opened.

  3. Go to the Team tab.
    Note that the members of the group to which the project belongs are not listed on this tab.

  1. Click the Invite members button in the top right corner.
    The Invite members to project form is displayed.

  1. Select a project role for the new member(s) of the project.

  2. Enter the email addresses you want.
    If you enter more than one address, separate them by commas or semicolons, or press the space bar or enter key after each entry.

  3. Click the Send Invite button to send an email invitation.

If the invited users do not have a Sphere XG account, they must create one before they can access the project.
